the other key, labelled Authorised Person Duplicate , is to be
kept in a glass fronted box adjacent to the Duplicate Working
Key Cabinet. A notice is to be posted adjacent to the glass
fronted box stating:
ONLY THE PERSONS LISTED IN THIS NOTICE HAVE
AUTHORITY TO BREAK THE GLASS AND WITHDRAW
THE AUTHORISED PERSON'S DUPLICATE KEY.
This is to be followed by a current list, issued by the Co
ordinating Authorised Person, of the Authorised Persons and
other Authorised Key Signatories who may require access to the
Duplicate Working Key Cabinet.
5.8.17
A Key Register is to be kept in each Key Cabinet.
5.8.18
When issuing or returning a key, Authorised Key Signatories must enter in
the Register:

details of the key
n
name and signature of the person receiving or returning the key
n
the date of issue or return
n
the signature of the Authorised Key Signatory.
5.9
PROCEDURES FOR REMOTE SITES
5.9.1
Where Authorised Persons are not based at the Establishment or site for
which they are appointed, the procedures described below are to be
adopted.
5.9.2
A Document Cabinet and Key Cabinets as appropriate are to be installed
in a room at the remote site to which, except for secure sites, Authorised
Persons have access at all times.
5.9.3
The Document Cabinet is to contain documents specified in these Safety
Rules and Procedures relevant to the nature of the confined spaces and
operational requirements on the site, clearly and indelibly marked with the
name of the remote site.
5.9.4
The Authorised Person is to record the visit on a suitable diary sheet to be
kept with the Confined Spaces Register and complete all necessary
documentation relating to the visit, record accurately any work that has
been undertaken, as required by these Safety Rules and Procedures.
